Our client are seeking a motivated Administration Assistant to join their team.
In this role, you will have the chance to demonstrate your excellent communication skills while proactively providing support to our fee-earning team.
About the role
Company Search Administration
- Electronic registration and release of security interests on the Security Interests Register (the SIR).
- Running daily searches as requested of both the Jersey Registry and the Security Interests Register and obtaining relevant required documents. Liaising with the Judicial Greffe to facilitate Bankruptcy and CWU Searches.
- Maintenance of internal records and monthly billing reconciliations.
Finance
- Ensuring timely and accurate processing of expenses and collaborating with the Finance Team to prepare timely and accurate client bills.
Diary/Travel Management
- Active diary management including liaising with the firm's travel provider to co-ordinate and finalise travel arrangements.
- Co-ordinating meeting requirements (room bookings, attendee invitations, resources) including scheduling arrangements across time zones using Webex and Teams
Business Development/Marketing
- Ensuring contact manage is regularly updated, including adding all information and client meeting notes provided following a BD trip or meeting.
General
- Handling phone calls, managing emails and documents, and providing secretarial support across different practice groups and jurisdictions.

- A high degree of initiative, pro-activity and practical problem-solving skills and a willingness to take ownership for the completion of tasks or projects.
- A client focused approach with strong communication and interpersonal skills.
- Excellent organisational skills with the ability to multi-task and re-prioritise when needed to meet urgent deadlines or changed priorities.
