Our Client has an opening for a Reception and Scanning Assistant within its Operations Division.
This role sits within the Facilities and Reception Department and supports the wider business by predominately being involved in the following, whilst acting as the first point of contact for clients, staff, and visitors.
Responsibilities will include:
- Processing post – opening, sorting, dating, scanning, and saving all communication and documentation into the document management systems and passing to the appropriate manager.
- Providing assistance to the rest of the team with reception and facilities duties.
- Providing an efficient and accurate scanning and filing service.
- Assisting with the archiving and data destruction process.
- Ordering office supplies, including stationery and catering stock.
- Room Bookings, both internally and externally.
- Providing switchboard cover.
- Checking in/out visitors (making tea/coffee if required).
- Outgoing post/couriers/ hand deliveries.
Requirements:
- Excellent interpersonal skills with the ability to develop strong relationships within the company and with third parties.
- Strong communication skills (both written and oral) with all levels of staff.
- High level of organisational and prioritisation skills.
- Able to work well within a team.
- High degree of flexibility and willingness to help others.
